What is SUMO?

Organizations use SUMO to manage and automate the process of staff & customer scheduling.  SUMO removes the inefficiencies of a manual process, such as phone tag and email tag, decreases no-shows with automated text message reminders, and increases staff utilization by allowing customers to self-schedule.

How does SUMO automation work?

There are many examples of how you can automate your scheduling process.

  • You may launch a self-scheduling web site where customers may see open times on your calendar and book themselves into these openings.
  • You may create email templates to automatically be sent to users to remind them of appointments, and give them the opportunity to automatically confirm or decline the invitation.
  • You may have SUMO automatically send text message and voice reminders.
  • You may have custom email templates sent to your staff alerting them of no-shows, cancelations, and any criteria you define.
  • You may configure the creation of new records based on the change of other records, such as auto-creating an invoice upon a no-show appointment.
  • You may announce appointment or work shift openings to a group of users to assist schedule changes.
  • You may automate virtually any business process with configurable work flow rulesapproval processes, and email alerts.
Do we get routine upgrades of SUMO?
  1. Platform Upgrades – The platform upgrades are routinely and automatically made for you three times each year at no additional cost (Spring, Summer, and Winter).
  2. App Upgrades – In addition, we aim to release 2 full releases each year packed with new functionality, enhancements, and more.
  3. Bug Fixes – Critical bugs are automatically pushed to your SUMO environment routinely and automatically.
What happens if I uninstall or fail to renew SUMO Scheduler?

WARNING: If you uninstall SUMO Scheduler or do not renew your annual contract by the renewal date, then you will lose access to the following data, which may likely be unrecoverable, unless you have taken the proper steps to export your data:

  • SUMO Appointments – Yes, you will lose access, and for this reason, we recommend you export your data prior to uninstalling or your cancellation date.
  • Work Shifts – Yes, you will lose access, and for this reason, we recommend you export your data prior to uninstalling or your cancellation date.
  • Services – Yes, you will lose access, and for this reason, we recommend you export your data prior to uninstalling or your cancellation date.
  • Locations & Rooms – Yes, you will lose access, and for this reason, we recommend you export your data prior to uninstalling or your cancellation date.
  • Custom Objects – If you leveraged the SUMO Additional custom objects, then yes, you will lose access, and for this reason, we recommend you export your data prior to uninstalling or your cancellation date.

IMPORTANT NOTE: You may retain access to the following data, as long as you already have at least 1 Salesforce.com Enterprise (or higher) license in your SUMO Scheduler Org before your SUMO Scheduler contract renewal date.

  • Accounts – No, when you uninstall SUMO Scheduler, you will still have access to your accounts.
  • Contacts – No, when you uninstall SUMO Scheduler, you will still have access to your contacts.  However, if you were using SUMO Person Accounts, then you may have to take additional steps to export & re-import these as Salesforce Person Accounts.

Will my SUMO Appointments remain in Salesforce as tasks or events?

  • SUMO 4 (Fall 2015) includes a Calendar Sync tool that syncs “SUMO Appointments <-> Salesforce Events”.
  • Once on SUMO 4, you must turn on Calendar Sync, and going forward from this data forward, then all SUMO Appointments will also be created as Salesforce Events.
  • Therefore, upon canceling or uninstalling SUMO Scheduler, while your SUMO Appointments will no longer be accessible, your Salesforce Events will if you maintain a Salesforce license.

Is there an option to retain a few licenses, so I do not lose access to my data?

  • Yes, we have a 15 license minimum, so as long as you maintain a subscription to a min of 15 licenses, then you will maintain access to SUMO Scheduler and all of your data.
